POSITION TITLE: DIRECTOR OF OPERATIONS
JOB DESCRIPTION
The Director of Operations is responsible for the development and management of the Operations departments of GEP Washington and GEP Baltimore. The position oversees an operations team of approximately 10 staff in a variety of operational capacities. The team is responsible for the seamless execution of all contracted programs, quick thinking problem solving and overall proactive management to ensure optimal client satisfaction, and driving future business opportunities.
REQUIREMENTS
- College education. 5+ years of work experience in the hospitality industry, preferred
- Prior DMC experience is beneficial
- Superior communication skills and excellent writing skills
- Must be fluent in Microsoft Office applications, including Word, PowerPoint and Excel. Familiarity with database programs a plus.
- Ability to delegate, manage and extract superior performance from staff
- Must be a self-starter and possess a positive, customer focused work ethic in a fast-paced and growing company. Must be highly organized, detail-oriented, and professional. Should be able to think on your feet, respond to challenges positively and maintain composure under stress.
SUMMARY OF DUTIES AND RESPONSIBILITIES:
- Effectively manage a team of operations staff who coordinate and supervise all events, tour programs, transportation systems, airport arrival and departure programs, and all other contractual programs as assigned.
- Ensure all back of house systems are produced and utilized in an effective manner for each program including the production of schedules of services, timelines, staff notes, ACT! Notes, etc.
- Oversee the development and execution of account schedules, contracts, deposit invoices and final billing and ensure that all documents are accurate, and sent and received by the timeframes mandated by corporate
- Maintain effective communication with all Operations Managers including regular updates on program and/or client status during program development and performance feedback post-program.
- Ensure that corporate mandates affecting the Operations department are implemented and enforced including vendor risk analysis, Independent Contractor agreements, insurance documentation etc.
- Conduct or participate in client site inspections as needed, as well as develop client relationships for acquiring future business, and participate in sales efforts to build relationships with sales and convention staff at major hotels in order to generate business opportunities.
- Ensure all operations managers are operating programs within a designated profitable margin percentage for each program.
- Attend pre-con meetings and program events with Operations team members to ensure quality of service, client satisfaction and observe total program management.
- Regularly update and maintain reference or resource tools as assigned to operations team members.
- Participate in one to two industry organizations through events and/or regular meetings with Director of Sales to further build relationships and contacts with vendors and local industry peers.
